Data Processing Agreement

Effective Date: June 20, 2025

This Data Processing Agreement (“Agreement”) outlines how knowbuddy.ai (“we”, “us”, or “our”) processes personal data on behalf of users (“you” or “Participant”) who engage with our AI-powered service.

By participating in the knowbuddy.ai testing program and checking the acknowledgment box, you agree to the following terms.

1. Purpose of Data Processing
We collect and process your data solely to:

• Provide access to and improve the knowbuddy.ai service;

• Communicate with you regarding product updates, feedback, and support;

• Monitor usage patterns to improve performance and safety.

2. Types of Data Collected
We may process:

• Basic contact information (e.g., name, email address, phone number);

• Messages and queries submitted through the platform;

• Usage data (e.g., time of access, interaction logs, technical details).

We do not intentionally collect sensitive personal data.

3. Legal Basis for Processing
Our processing is based on:

• Your explicit consent given by checking the agreement box;

• Our legitimate interest in supporting the safe and effective use of the service.

You may withdraw consent at any time by contacting us at hello@knowbuddy.ai.

4. Subprocessors and Third Parties

We use trusted third-party subprocessors to support infrastructure, analytics, and communications, including but not limited to:

• Cloud hosting providers;

• Messaging and notification services;

• Usage analytics platforms.

All subprocessors are contractually obligated to protect personal data and operate in accordance with this Agreement.

5. Use of Third-Party AI Providers

knowbuddy.ai uses OpenAI’s large language models to generate responses. By using the service, you acknowledge and agree that:

• Some user-submitted queries may be sent to OpenAI’s API to provide answers;

• OpenAI does not use this data to train or improve its models, per their Enterprise Privacy Policy: https://openai.com/enterprise-privacy;

6. Data Retention
We retain personal data only for as long as necessary to:

• Deliver services during the testing period;

• Improve system performance and usability;

• Comply with applicable legal obligations.

You may request deletion at any time by contacting hello@knowbuddy.ai.

7. Data Security

We implement appropriate technical and organizational safeguards to protect data, including:

• Encryption in transit and at rest;

• Access controls and role-based permissions;

• Secure cloud infrastructure and monitoring.

8. International Data Transfers

Data may be stored and processed outside your country of residence. Where applicable, we use:

• Hosting providers in jurisdictions with strong privacy protections;

• Standard contractual clauses or similar safeguards to ensure lawful data transfer.

9. Your Rights

You have the right to:

• Access the personal data we store;

• Request correction or deletion;

• Withdraw consent at any time;

• Lodge a complaint with a data protection authority.
